By then they are also packing, coordinating movers, handling address changes, and managing everything else that comes with moving. Repairs done under that pressure get rushed, missed, or done badly. A structured timeline spread over three to four weeks converts what is a stressful last-minute scramble into a manageable series of tasks that fit into normal evenings and weekends.

Four Weeks Before Move-Out: Assessment and Supplies

Do your complete walkthrough during week four. Photograph everything and make your repair and cleaning list. Buy all supplies in one trip: spackle, touch-up paint, caulk, cleaning products, carpet stain remover, any replacement hardware. Having all supplies ready eliminates the friction of starting. You want to be able to start a repair any evening without needing to go to the store first. This week is about preparation, not action.

Three Weeks Before Move-Out: All Repairs

Week three is for physical repairs. Fill and sand all wall holes. Apply touch-up paint where needed and allow to dry. Recaulk bathroom areas that need it and allow 24 to 48 hours to cure before using. Treat carpet stains and allow to dry before assessing whether a second treatment is needed. Fix door hardware, cabinet catches, and any mechanical issues. The goal is to have zero open repair items by the end of week three.

Two Weeks Before Move-Out: Deep Cleaning Begins

With all repairs done, start the deep clean during week two. Begin with the highest-effort areas: kitchen appliances and cabinet interiors, bathroom grout and caulk areas. If you are steam cleaning carpet, this is a good week for it so it has time to dry and air out. Clean baseboards, window tracks, and closets. By the end of week two, the unit should be nearly fully cleaned.

One Week Before Move-Out: Final Details and Touch-Ups

The final week is for finishing work. As furniture leaves rooms, clean behind and under it immediately. Do a final vacuum after all furniture is out. Wipe walls in empty rooms for any missed scuffs. Replace any remaining burnt-out bulbs. The day before or of move-out, photograph every room and send documentation to your landlord.

The Move-Out Process: What to Expect and How to Prepare

A successful move-out starts 30 days before your actual move date. This inspection gives you the opportunity to make repairs or address cleaning issues that would otherwise result in deductions โ€” and to contest any claimed damage before it becomes a formal deduction from your deposit. Request this inspection in writing if it’s not automatically offered, and bring someone with you as a witness. Take photographs before and after any repairs you make in response to the walkthrough. The pre-move-out inspection is one of the most underutilized protections available to renters.

The final walkthrough with your landlord should be treated as a business transaction, not an emotional event. Bring your move-in documentation (photos and signed inspection form), your cleaning receipts if you hired professional help, and any repair receipts. Walk through each room systematically and address each item your landlord raises with reference to your documentation, the distinction between normal wear and tear versus damage, and what was pre-existing at move-in. If you disagree with an item, say so calmly and note it โ€” you don’t need to argue extensively in the moment, because the real resolution happens through written communication after the fact.

After the walkthrough, follow up with a written email summarizing what was discussed and what your understanding is of the deposit disposition timeline. This creates a record of the conversation and demonstrates that you engaged professionally with the process. Include your forwarding address explicitly, even if you’ve provided it verbally โ€” deposit refund checks are mailed, and landlords who claim they couldn’t locate you to return the deposit need a clear paper trail to refute. Keep all of this documentation for at least 18 months after your tenancy ends in case a dispute develops after the fact.
